The position

For the Engineering and Estimating Department (E&E), based in Rotterdam and Gorinchem, we are in search of a colleague to join our team for a minimum of 32 hours per week. In this developing role, you will provide invaluable support to the Manager and the E&E department. You will be part of a forward-thinking secretarial team, ensuring the department runs with maximum efficiency.The E&E department is at the forefront of international projects across diverse engineering domains, with almost 650 (inter)national colleagues. Your responsibilities

As a forward-looking Secretary, you will serve as the first point of contact for the E&E department. Your responsibilities will include:

  • Meticulous management of complex schedules for our management team, harnessing the latest digital tools.
  • Seamlessly processing all incoming communications, thanks to your adept use of technologies.
  • Providing comprehensive administrative support to the manager and the team, showcasing your proficiency in contemporary office software.
  • Skillfully orchestrating events and gatherings.
  • Streamlining travel documentation for colleagues, utilizing the latest online resources and services for booking flights, accommodations, visas, and more.
  • Develop effective and collaborative working relationships with your key internal customers.
  • Be an advocate for and work collaboratively with the wider Secretariat team to ensure support is consistent and seamless and you bring insights to promote continuous improvement of our processes and practices.
  • Delivering high standards with attention to detail around all key documentation and requirements.

Job requirements

Key Competencies To excel in this role, you should exhibit the following essential competencies:

  • Tech-savvy: Proficiency in modern digital tools and platforms is necessary. You should be at ease with the Microsoft Office applications, including Outlook and Teams, and have the ability to adapt to modern technologies.
  • Proactive and Flexible: Being ahead of the curve and anticipating the needs of colleagues.
  • Time Management: Managing multiple priorities and eliminating roadblocks without being knocked off balance by the unexpected while still delivering a positive experience for all. Can effectively cope with change.
  • Outstanding Communicator & Highly collaborative: Good written and verbal communication skills in both Dutch and English are imperative for effective interaction with international colleagues. Competence in online collaboration tools is also expected paired with ability to facilitate effective connections with others.
  • Great people person: able to build rapport easily, with an open, engaging and trusting style that enables strong relationships to be built. Ability to adapt style when necessary.
  • A good listener: who can quickly understand what is needed (not just what is wanted).

Job Requirements We are looking for a tech-savvy, forward-thinking secretary with a service-oriented attitude. To qualify for this role, you should meet the following criteria:

  1. Minimum vocational education (MBO) level of work and thinking.
  2. Proficiency in contemporary digital tools and platforms.
  3. A minimum of 3 years of recent experience in a similar role, preferably within a large international organization.
  4. Good to excellent command of both Dutch and English, spoken and written, for seamless communication with international colleagues.

Availability for a minimum of 32 hours per week, including Fridays, in Rotterdam. Occasional work in our Gorinchem office may be required. One day of remote work per week is possible.
